1Information We Collect
Information you provide. When you submit a form, apply for an account, or use the Services, we collect information such as your name, business name, role, email address, phone number, business address or ZIP coverage area, and information about your business (for example, brands carried or team size). Customers using the platform also store business records they enter — contacts, deals, notes, and related content ("Customer Data").
Information collected automatically. We collect standard technical information such as IP address, browser and device information, pages viewed, and timestamps, using cookies and similar technologies necessary for the site to function and to understand aggregate usage.
Information from others. Platform customers may enter business contact information about industry contacts (for example, a fleet manager's business name, role, and business phone or email). We process that information as part of the Services.
2How We Use Information
We use information to: provide, secure, and operate the Services; process applications and communicate with you about your account or inquiry; enforce security controls (including authentication and rate limiting); improve the Services, including in de-identified or aggregated form; comply with law; and, with your consent where required, send you information about the Services. By submitting a form with your contact details, you agree that we may contact you about your inquiry by phone, email, or text; you can opt out of marketing communications at any time.
3How We Share Information
We do not sell your personal information. We share information only: with service providers that host and operate our infrastructure under confidentiality obligations; within the platform as you direct (for example, content you choose to broadcast to network participants); in connection with a business transaction such as a merger or acquisition; to comply with law or protect rights and safety; and in aggregated or de-identified form that does not identify you.
Customer Data. Business records a customer stores in its private workspace are not disclosed to other customers except through features the customer elects to use (such as network broadcast).
4California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the right to: know the categories and specific pieces of personal information we have collected about you; delete personal information we hold about you, subject to legal exceptions; correct inaccurate personal information; and not be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA, and we do not use or disclose sensitive personal information for purposes requiring a right to limit. To exercise rights, contact privacy@dealerdeskpro.com; we will verify your request and respond within the time required by law. Authorized agents may submit requests with proof of authorization.
Note for industry contacts: where personal information is processed in a business-to-business context (for example, your business role and work contact details entered by a customer), we honor applicable rights requests regarding that information as well.
5Retention
We retain personal information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Customer Data in a terminated account is made available for export for a period after termination and then deleted, except as retention is required by law or for legitimate business records.
6Security
We use administrative, technical, and physical safeguards appropriate to the nature of the information, including encryption in transit, mandatory two-factor authentication for administrative accounts, per-tenant data isolation enforced at the database layer, and rate-limited authentication. No system is perfectly secure; you are responsible for safeguarding your credentials.
7Cookies
We use cookies necessary for the operation of the site (such as session and security cookies) and basic analytics. You can control cookies through your browser settings; disabling necessary cookies may impair the Services.
8Children
The Services are for business use and are not directed to individuals under 18. We do not knowingly collect personal information from children.
9Changes to This Policy
We may update this Policy from time to time. Material changes will be posted with an updated effective date.
